Schedule a video meeting from Google Calendar:
It's easy to schedule a Meet video meeting in Google Calendar—just create an event and add your guests to it. A video meeting link and dial-in number (if you are a Google Workspace user) is added to a Calendar event either by inviting one or more guests to the event, or by clicking Add conferencing.
Note: Guests can forward the meeting link to other people. If someone tries to join who was not invited to the Calendar event, a meeting participant from your organization must accept their request. For meetings organized by a personal Google Account, only the meeting creator can admit these participants.
Steps are as follows:
In Calendar, create an event.
Click Add guests and enter the names or email of the people you want to invite.
Click Save.
Click Send to notify guests.
Schedule a video meeting from Microsoft® Outlook®:
To schedule a meeting with Outlook®, go to Add Meet video meetings to Outlook.
Schedule a video meeting in another scheduling system:
Start a video meeting from Gmail or Meet (steps below).
Copy the meeting details to an event created in your scheduling system.
Open Gmail.
In the bottom left corner, under “Meet,” click New meeting .
To send the meeting invite via link or email, click Send invite.
To copy the meeting invite details, click Copy meeting invite.
To send an email invite, click Share via email.
When you’re ready to join the meeting, click Join now.
Before you join your first meeting, make sure to allow permissions for your Microphone and Camera. Once you have granted permission,
To turn your microphone on or off, click Microphone .
To turn your camera on or off, click Camera .
To enter the call, click Join now.
To end the call, click Leave call .
If you want to start a new meeting, click New Meeting. Choose an option:
Create a meeting for later: To share the meeting details with participants for a future meeting, copy the meeting link and share with participants. To directly start the meeting with this link, paste the link into a browser, or enter the link into the “Enter a code or link” field click Join.
Start an instant meeting: Create a new meeting and join the meeting directly.
Schedule in Google Calendar: To schedule a meeting, you’ll be directed to Google Calendar.
Open the Google Calendar app .
Tap Event.
Add guests from inside or outside your organization. Tap Done.
Tap Save.
Go to the Play store or App store.
Download and install the Google Meet app .
On your device, tap the Google Meet app to open it.
Calls are synchronized across all devices so you can start a video call on one device and continue on another.
Open the Meet app .
Tap New meeting. Choose one:
Get a meeting link to share: This will generate a meeting link which you can share to meet now or later. Tap Share invite to invite others and copy the code into the "Join with a code" field to join the meeting.
Tip: Google Workspace users will see Get joining info to share. This works exactly like the "Get a meeting link to share".
Start an instant meeting: Creates a meeting that you join now.
Schedule in Google calendar: To schedule a meeting, you will be directed to the Google Calendar app.
From within the Gmail app, go to the Meet tab.
For meetings scheduled on Google Calendar, you’ll directly see them in the Upcoming meetings section. You can tap on an upcoming meeting to see the meeting details and join the call.
To organize a new Meeting, tap New meeting. You’ll have 3 options:
Get a Meeting link to share: This creates a new meeting but doesn’t join it right away. A dialog box will display with the new meeting link you can share with others. Once shared and ready to join the meeting, tap Join a Meeting and use this code to enter it.
Start an instant meeting: This creates a new meeting and joins it right away. When you join the call, you can share the meeting invite with others.
Schedule in Google Calendar: This will direct you to the Google Calendar app to schedule a new meeting.
